Report on mandatory training using the All Compliance Requirements report

Learn how to report on mandatory training using the two All Compliance Requirements reports.

The All Compliance Requirements reports combines all compliance requirements assigned either automatically through a training plan, or manually.
The two reports are All Mandatory (Compliance) and All Mandatory Non-Compliance.

  • Compliance requirements, also known as compliance records, are requests to users to complete mandatory training by a due date. Mandatory means users are required to complete the training, which counts towards your organisation's learning compliance.
  • Compliance requirements contain information on who is required to complete the training, what they need to complete, and the timeline for this. 

This article describes how to run an All Compliance Requirements report and interpret the results. 


How to run an All Compliance Requirements report

Steps

  1. From the top navigation bar in the manager portal, go to Learning. 
  2. From the left-hand-side menu bar, go to Reporting, then click on Requirement Records, then click on the All Compliance Requirements report.

  3. You can select either All Mandatory (Compliance) or All Mandatory (Non Compliance), both reports will show different data, but are generated the same way
  4. Build your report query using the filters provided: 
    1. Go to Category, and keep User selected to report on one or more users. Otherwise, select Team if you would like to report on users in one or more teams, or select Job Role if you'd like to report on users with one or more job roles. 
    2. Go to Account Status, and keep Active selected to include users with an active account. Otherwise, select one or more account statuses
    3. Go to Category Type, and select one or more users, teams or job roles for the Category you previously selected. 
    4. Go to Source, and keep All Manually Assigned / All Plans selected. Otherwise, select one or more training plans.

      Note:

      "All Manually Assigned" means the results in your report will include all manually assigned compliance requirements.

      "All Plans" means the results will include compliance requirements assigned automatically through all of your organisation's training plans

    5. Go to Date Type and keep Due Date selected if results should be returned based on when requirements are due. Otherwise, select Open Date if results should be returned based on when requirements open for completion. 
    6. Go to Date Range and keep This Month selected if results should be returned for the current month. Otherwise, select from the list of date ranges. 
    7. Click Show More Options and select one or more items if you would like to report on compliance requirements for specific items in Your Library or the Ausmed Library
  5. Click Run Report and view the results

    Tips:

    • Need to alter your report? Simply change one or more of the report filters and click Run Report Again.
    • Save your report if you would like to run it again regularly. 


Understand results shown in the All Compliance Requirements report

Results shown in the All Compliance Requirements report are presented in a table with four views: Compliance Requirements, By Training Plan, By User, By Item

Compliance Requirements view

This view shows the individual compliance requirements or records that match your report query. It's useful if you would like to analyse the raw data returned for your query.

By Training Plan, By User, By Item views

These view groups the compliance requirements that match your report query by their status, and the training plan, user or item they belong to: 
    1. The By Training Plan view is useful if you would like to report on the progress of compliance requirements for a particular training plan
    2. The By User view is useful if you would like to report on the progress of compliance requirements for a particular user. 
    3. The By Item view is useful if you would like to report on the progress of compliance requirements for a specific item. 

The columns in these views include the following:

    1. By Training Plan
      1. Source - the name of the training plan the compliance requirements belong to. 
    2. By User 
      1. User - the person required to complete the compliance requirement. 
      2. User ID - a set of letters and/or numbers to uniquely identify the user, such as an employee number or membership number.
      3. Account Status - the current status of the user's Ausmed account.
      4. Teams - the teams the user currently belongs to. 
      5. Job Roles - the job roles the user currently belongs to. 
    3. By Item
      1. Item Title - the name of the training item the compliance requirement is for. 
      2. Item Type - the type of training, such as a course, article, lecture etc. 
      3. Item ID - a set of letters and/or numbers to uniquely identify the training.
    4. Status columns
      1. Completion Rate - the percentage of completed or skipped compliance requirements related to the training plan, user or item. 
      2. Scheduled - the number of scheduled compliance requirements related to the training plan, user or item. 
      3. Open - the number of open compliance requirements related to the training plan, user or item. 
      1. Overdue - the number of overdue compliance requirements related to the training plan, user or item. 
      2. Missed - the number of missed compliance requirements related to the training plan, user or item. 
      3. Completed - the number of skipped or completed compliance requirements related to the training plan, user or item. 
      4. Total Compliance Requirements - the total number of scheduled, overdue, missed, completed or skipped compliance requirements related to the training plan, user or item.
