Give extensions for compliance requirements

Learn how to extend due dates for compliance requirements.

This article explains how to extend due dates for compliance requirements via the Compliance Calendar, Compliance Workroom, a user's transcript, or within a training plan. Make sure you understand the consequences of giving extensions before doing so. 


 
Why extend due dates for compliance requirements?
Compliance requirements, also known as compliance records, represent requests to users to complete mandatory training. They contain information on who is required to complete the training, what they need to complete, and the timeline for this.  
Consider extending due dates if you would like to give users more time to complete their requirements, so they remain compliant.

 
What happens when a due date is extended? 
  • The status of the compliance requirement will be "open" indicating the requirement is open to the user for completion. 
  • The due date is automatically updated in the user's assigned learning list in My Organisation, so they're aware of the revised date. 
  • If you opt to send a notification at the time of giving the extension, the user will receive an email notifying them the due date has been extended. For example:

Give extensions via the Compliance Calendar

Steps

  1. From the top navigation bar in the manager portal, go to Learning.
  2. From the left-hand-side menu bar, go to Manage, then to Calendar
  3. Click on the Day button in the top middle of the calendar interface.
  4. Click on the current date button and use the data picker to select the date you would like to extend requirements for.
  5. Select the requirements you would like to extend in the ScheduledMissedOverdue or Open tabs:
  6. Click on the Give Extension button, or click on the Actions drop-down menu, then click Give Extension:
  7. Select to extend the due date either by a specific period (set number of days, weeks or months from today) or choose a specific date, then click Give Extension.

Tip: Check the box next to "Send users an email about new due dates" if you would like the user to be notified about the new due date.


Give extensions via the Workroom

Steps

  1. From the top navigation bar in the manager portal, go to Learning.
  2. From the left-hand-side menu bar, go to Manage and then Workroom
  3. Locate the requirements you would like to give extensions for in either the MissedOverdue or Open sections.
  4. Select the checkbox next to the requirements you would like to extend due dates for:
    1. If you would like to extend due dates for all requirements, click Select all x requirements, where x is the number of requirements.

    2. If you would like to deselect the requirements and start afresh, click Clear all selections.

  5. Locate the Give Extension button - depending on the view, the button will either be:
    1. Standalone:
    2. Accessed via the Actions drop-down: 
  6. Select to extend the due date either by a specific period (set number of days, weeks or months from today) or choose a specific date, then click Give Extension.

    Tip: Check the box next to "Send users an email about new due dates" if you would like the user to be notified about the new due date.


    Give extensions via a user's transcript

    1. Find the user whose requirements you would like to extend due dates for. 
    2. Click on the Requirements Status tab of the user's transcript page, and navigate to their compliance records: tempsnip-Jul-24-2023-05-18-33-6411-AM
    3. Locate the requirements you would like to extend due dates for

       

    4. Locate the Give Extension button:
    5. Select to extend the due date either by a specific period (set number of days, weeks or months from today) or choose a specific date, then click Give Extension.

    Tip: Check the box next to "Send users an email about new due dates" if you would like the user to be notified about the new due date.


     

    Give extensions via a training plan

    1. From the top navigation bar in the manager portal, go to Learning.
    2. From the left-hand-side menu bar, go to Plan and then Training Plans.
    3. From the Active tab, click on the name of the training plan containing the requirements you would like to extend: 
    4. Navigate to the Planner section in your selected training plan, and click on one of the Users, Job RoleTeamItemOverdue or Missed tabs:
    5. Hover over any row in the table, then click on the three dots in the Actions column and click View Requirements.  

      Note: If the View Requirements button is missing, this means there are no requirements to display. 

    6. Locate the Give Extension button - depending on the view, the button will either be:
      1. Standalone:
      2. Accessed via the three dots drop-down menu:
    7. Select to extend the due date either by a specific period (set number of days, weeks or months from today) or choose a specific date, then click Give Extension.

    Tip: Check the box next to "Send users an email about new due dates" if you would like the user to be notified about the new due date.
