What types of emails are sent to users?

The types of emails sent to users.

Invitation Emails 

  • Invitation emails are sent immediately after you choose to invite one or more users to join your organisation on Ausmed.
  • A follow-up reminder is automatically sent 3 days later if a user has not yet activated their account. You can manually send a follow-up reminder at any point

Tip: Check the "Last Invited" column in the Manage Users > Invited tab to see when a user was last sent an invitation email, or use the "do not send a reminder if one has been sent in the last X days" 

  • Once a user has accepted your invitation they will receive an onboarding email confirming their account has been activated. This email includes the appropriate Learner Guide for the product you have purchased. Eg - How to use Ausmed

Deactivation Emails

  • Users receive an email notification immediately after you choose to deactivate their account on Ausmed 

Password Reset Emails

  • Choosing to reset a user's password triggers an email containing instructions for users on how to go about resetting their own password

Manually Assigned Learning Emails

  • There are 4 types of automated reminders for manually assigned learning:
    • Newly Open: sent immediately to users as soon as a new item is assigned
    • Due in 7 Days: sent 7 days before an incomplete item is due
    • Due Tomorrow: sent the day before an incomplete item is due
    • Overdue: sent the day after an incomplete item was due
  • The automated reminders for due in 7 days, due tomorrow, and overdue will only be sent if a due date has been set for the item
  • You can manually send reminders for assigned learning items at any point. These reminder emails are sent immediately
  • All automated and manual reminders for assigned learning are sent per individual item

For example: if you manually assign 3 learning items to the same user on the same day, they will receive 3 different newly open emails. 


Compliance Emails

  • There are 4 types of automated reminders for compliance requirements:
    • Newly Open: sent the day after a requirement becomes open for completion
    • Due in 7 Days: sent 7 days before an incomplete requirement becomes due
    • Due Tomorrow: sent the day before an incomplete requirement becomes due
    • Overdue: sent the day after an incomplete requirement was due
  • You can control your organisation's preferences for which of the above automated reminders to send under Settings > Email notifications. Only users with Organisation Manager access can control these settings
  • All automated reminders for compliance requirements are grouped together by the due date or open date. 

For example: If a user has 5 compliance requirements that are open for completion on the same date, they will receive one email containing a list of all 5 requirements.

  • Likewise, if a user has 5 incomplete compliance requirements due on the same date in 7 days, they will receive one email containing a list of all 5 requirements.
  • You can manually send reminders for compliance requirements at any point. Unlike the automated reminders for compliance requirements, these manual reminders are sent per individual requirement. 

For example: If you choose to send reminders for 3 requirements belonging to the same users in the one hit, they will receive 3 different emails for each individual requirement

  • You can control these settings any time via Settings > Email Notifications




Give Extension & Mark as Completed Emails

  • You can choose to send an email notification to users any time you mark a compliance requirement as completed or extend the due date. This email notification is sent per individual compliance requirement
