What is Event Management?

Understand how Ausmed's Event Management system works, and how its parts fit together to get staff trained and attendance recorded.

The building blocks

Before you schedule Events, your organisation sets up:

  • Programs — a reusable agenda and set of resources for staff to view before, during, and after an Event. Instead of rebuilding this content every time, you create the Program once and insert it into each Event that follows the same format.
  • Venues — physical locations Events can be held at
  • Facilitators — the people who deliver sessions
  • Practical Activities — the compliance activity an Event's attendance completes

Events are built from these — a single Event is a specific date and time, with a Venue or Meeting Link and one or more Facilitators attached, and can optionally carry a Program for its agenda and resources. 

Creating an Event

A manager schedules an Event by choosing:

  • What it is and when it runs (title, type, date, time, venue or meeting link)
  • What attendees need to know, and which Program and Practical Activity it links to
  • Who owns and facilitates it
  • Who can see it and how people enrol
  • Optional tags for discovery and reporting

How staff find and join an Event

Each Event's visibility setting controls who can see it — everyone in the organisation, a targeted group, or managers only. Its enrolment method controls how people get in — self-enrol, manager-only enrolment, or a request that a manager approves.

Running the Event

Facilitators log into the Facilitator App to view their assigned Events and mark attendance. Facilitators use a separate login (email plus a verification code) rather than the manager portal, and can be linked to more than one organisation.

Once an Event has ended, attendance is locked — only an organisation manager or admin can amend it from that point on.

After the Event

Attendance recorded against an Event completes the linked Practical Activity for each attendee, feeding into their compliance record.
