Understand the Administration Dashboard

Everything you need to know about the Administration Dashboard.

The Administration Dashboard supports you to ensure users have activated their Ausmed account with your organisation. It also provides an overview of your organisation's structure, as represented in Ausmed.  Use this article to understand exactly what you're looking at when you access this dashboard.

Key Metrics

Key metrics show the percentage and number of active, pending and invited users in your organisation's account. The higher the percentage of active users, the better, as this means all staff at your organisation have joined your organisation on Ausmed.

The metrics displayed here include:

Metric

Description
Total Users Total number of active, pending and invited users. 
Active Users Number and percentage of total users who currently have an active account. Active means they have accepted an invitation to join your organisation on Ausmed. 
Invited Users Number and percentage of users who are yet to accept their invitation to join your organisation on Ausmed. 
Pending Users Number and percentage of users who are yet to be invited to join your organisation on Ausmed. 

Tip: Click on the arrow next to active, invited or pending users to see who these users are. 


Activity Feed

The activity feed shows who recently activated their Ausmed account by accepting their invitation to join your organisation.

Invited Users

This table shows who is yet to accept their invitation to join your organisation on Ausmed, so you can follow up with them by sending reminders. 

Users must accept their invitation to activate their account, and are listed in order of "days invited", which is how long it has been since they were last reminded to accept their invitation.

Columns in this table include: 

User The person invited to join your organisation on Ausmed. 
User ID A set of letters and/or numbers to uniquely identify a user, such as an employee number or membership number.
Days Invited The number of days since the user was last sent a reminder to accept their invitation. 
Invitation Sent The date the user was last sent a reminder to accept their invitation. 
Email The user's email address. 
Invitation Link

A link to the user's invitation, which you can copy to your clipboard to share with them outside of Ausmed, by clicking on the copy link icon next to their invitation link: Capture 

Job Roles The job roles the user currently belongs to. 
Teams The teams the user currently belongs to. 
Actions Edit: Edit a users details
Copy Invitation Link: copies the invitation link so that you paste it elsewhere

How to send invitation reminders 

There are two ways to send users reminders to accept their invitation: 

1. Click Send Bulk Reminders in the top right, and confirm to send invitation reminders to all invited users in the one go. 

2. Check the box next to the names of the users you would like to send reminders to, then click Send Reminders at the top of the table and confirm.  tempsnip-1

Tips:

  • Click Deactivate if you notice any users you no longer wish to join your organisation.
  • Click Download CSV in the top right if you would like to export this table into a CSV file. 

Pending Users

This table shows who is yet to be invited to join your organisation on Ausmed, so you can send invitations to these users once you're ready for them to activate their account. 

Users are listed in order of "days added", which is how long it has been since they were added to the system.

Days Added The number of days since the user was added to your organisation's account. 
Date Added The date the user was added to your organisation's account. 
Email The user's email address. 
Job Roles The job roles the user currently belongs to. 
Teams The teams the user currently belongs to. 
Actions Edit: Edit a users details
Delete: removes the pending user from the system
 

How to send invitations 

There are two ways to send invitations to pending users: 

1. Click Send Bulk Invitations in the top right, and confirm to send invitation reminders to all pending users in the one go. 

2. Check the box next to the names of the users you would like to send invitations to, then click Send Invitations at the top of the table and confirm.

Tips:

  • Click Delete if you notice any users you no longer wish to invite. 
  • Click Download CSV in the top right if you would like to export this table into a CSV file. 

Organisation Structure

This table displays a list of your organisation's job roles and teams in Ausmed, and the number of users that belong to them, so you can check that this accurately reflects your organisation's structure. 

If your organisation has parent and child teams, the child teams will be alphabetically nested within the parent teams. 

You can click to inspect who belongs to each team and job role by clicking on the number of users in the table.

This will open a table containing the following information: 

User The person that belongs to the job role and team. 
User ID A set of letters and/or numbers to uniquely identify the user, such as an employee number or membership number.
Email The user's email address. 
Teams The teams the user currently belongs to. 
Job Roles The job roles the user currently belongs to. 
 

Listed below the table are the total number of teams and job roles in your organisation's account on Ausmed, which you can access by clicking Go To Manage Teams or Go to Manage Job Roles

Note: Total number of teams may differ depending on if you have Organisation or Team Manager access. The number may be higher for Organisation Managers, who can view and access all teams, whereas Team Managers can only view and access the teams you manage.
