What is a Review?

In Ausmed Perform, a Review is how performance activities (like self-assessments or meetings) are automatically assigned to staff and managers. They are used for key events such as:

  • Probation reviews
  • Annual performance reviews
  • Induction reviews
  • Ad hoc or ongoing review processes

Every Review has two main components:

  • Activities: The tasks to be completed
  • Cycles: The scheduling rules that define when and how those activities are assigned

Reviews are flexible and customisable, making them suitable for both formal reviews and informal check-ins.


Types of Activities

There are two types of activities you can use in Reviews:

1. Meetings

Meetings are structured forms used by managers to guide and document performance discussions with staff. Only the manager adds notes to a meeting activity—staff do not contribute responses or notes.

Meetings can be set up with a free-flowing agenda or a structured form made up of talking points. Each talking point can be configured with a range of response types.

Supported question types in meetings:

  • Short answer
  • Long answer
  • Multiple choice
  • Checkboxes
  • Dropdown
  • Number field
  • Rating scale
  • Date picker

For non-text-based questions (e.g. multiple choice, checkboxes, dropdowns, rating), a manager comment box will be automatically added to provide context or elaboration.
Questions can also be marked as required to be completed or optional.

The process for meetings is:

  1. Manager and staff are assigned a meeting task
  2. Manager and staff organise and hold the meeting
  3. Manager documents the meeting
  4. The meeting record is saved to the staff profile and shared with them

2. Self-Assessments

Self-assessments are completed by the staff member first, then reviewed and responded to by the manager. These are often used to support reflection, self-evaluation, and preparation ahead of a review meeting.

Supported question types in self-assessments:

  • Multiple choice
  • Checkboxes
  • Dropdown
  • Number field
  • Rating scale
  • Date picker

Like meetings, questions can be marked as required to be completed or optional, and once published, cannot be edited.

The process for self-assessments is:

  1. Staff is assigned a self-assessment
  2. Staff completes the self-assessment
  3. Manager is notified to review it
  4. Manager adds comments
  5. Staff is notified to review comments
  6. The self-assessment is saved to the staff profile

Types of Cycles

Cycles define when and how activities are assigned. There are three types:

1. Once Only

Used for once-off review events like probation or induction. Activities are assigned based on a single enrolment date.

2. Annual (on enrolment)

Automatically repeats every 12 months from each user’s enrolment date. Ideal for anniversaries like hire or contract start dates.

3. Annual (on fixed date)

Everyone is reviewed at the same time each year (e.g. July 1 – June 30). You set the annual start date, and tasks are assigned according to the schedule.

Each cycle allows you to:

  • Add multiple activities with different completion timeframes
  • Enrol staff individually or in bulk
  • Automatically schedule future reviews

Task Statuses

Once a cycle is active, the system tracks task progress using these statuses:

Status

Scheduled

Task is set to be assigned in the future—no action required yet.

Open (Staff)

Staff member has been notified and must complete their part.

Open (Manager)

Staff has completed their input; manager now needs to review/respond.

Overdue (Staff)

Staff member has not completed the task by the due date.

Overdue (Manager)

Manager has not completed their task by the due date.

Completed

Both staff and manager have fulfilled their required tasks.

Skipped

Task has been marked as skipped and will not be required.
