What are folders in the Policy Library?
Folders are a new way to organise policies in your library. They help simplify navigation and make it easier to target content by job role, team, or audience.
All policies are still accessible under All Policies, but now you can also create folders to group related policies together.
When to use folders
Use folders when you want to:

Group policies by job role (e.g. Nursing, Admin, Kitchen)

Limit visibility to certain teams or individuals

Create a clearer experience for staff navigating the policy library

Prepare your policy organisation for future staff-facing improvements
How to create folders
To create a folder:

Navigate to Policies > Your Policy Library

Click + Create Folder
-
Enter a name for your folder (e.g. “Nursing” or “Safety”)

Choose who can see the folder:
-
Everyone (all users)
-
Restricted (specific job roles)

Note: When you select “Restricted,” only users with matching job roles will see the folder in their Policy Library.
How folder permissions work
Folder visibility determines who can see the folder and any policies placed inside it.

If a policy is moved into a folder, it inherits that folder’s visibility settings—even if the policy previously had custom visibility settings.

You’ll receive a prompt confirming that folder permissions will override the policy’s previous settings.
Tip: Legacy visibility settings on policies still apply if no folder is used, making this system flexible for all organisations.
How to move policies into folders

Go to Your Policy Library

Locate the policy you want to move

Drag and drop the policy into the desired folder
A confirmation will appear if permissions are changing. For example:

If the folder is restricted to the "Admin" job role, the policy will now only be visible to users in that role.
What staff will see (coming soon)
In an upcoming release, staff will see the same folders created by managers, tailored to their job role. This means:

Staff won’t see a full list of all policies anymore.
-
Instead, they’ll see only the folders—and policies—they’re meant to see.

Align policy visibility with compliance needs
Important: While the feature is live in the manager portal, it’s not yet available in the staff portal. Let your team know they can start organising now, and staff will benefit from this soon.
