Manually assign mandatory training

Learn how to manually assign mandatory training.

There are two ways to assign training to users through Ausmed, either automatically through a training plan or manually.  

Training that’s assigned manually may be optional or mandatory, whereas training that’s assigned automatically through a training plan is always mandatory

  • Mandatory means users must complete the training, which counts towards your organisation's compliance.
    • Compliance requirements are created when mandatory training is either assigned automatically through a training plan or manually. Compliance requirements contain information on who is required to complete the training, what they need to complete, and the timeline for this.
  • Optional means the training is "recommended" or "suggested"; users can choose whether to complete it, and it doesn't count towards your organisation's compliance.
    • Optional requirements are created when optional training is manually assigned. Optional requirements contain information on who recommended the training, what training was recommended, and when it was recommended.

Part 1: How to trigger the manual assignment flow

You can trigger the manual assignment flow anywhere you can choose Assign Item.

Locations include: 

  1. +Add button in the left side bar menu - choose this option if you want to assign multiple items to one or more users. 
  2. Ausmed Library or Your Library - choose this option if you want to assign a particular item to one or more users.
  3. User transcript page - choose this option if you want to assign one or more items to a particular user. 

Part 2: How to configure the assignment settings

Steps

  1. Once you have triggered the assignment flow explained above, search and select the title of the items from Your Library and the Ausmed Library you would like to assign. 

    Only published items in Your Library can be manually assigned. You can select to assign more than one item. 

  2. In answer to the question "Do you require users to complete this item?", select "Yes, it is mandatory and counts towards my organisation’s compliance."
  3. Decide when you require users to complete the item by (Assignment period):
    1. Choose a particular due date in the future - the default is set to 30 days from the current date, but can be modified, or
    2. Choose a time period from today, and let the system automatically calculate the due date.
  4. Decide if you would like to give users an automatic extension if they miss the due date (Overdue period):
    1. Select Yes, if you would like to give users an automatic extension - the default is set to 7 days, but can be modified, or
    2. Select No, if you do not wish to give users an automatic extension. 
  5. Decide if you would like to ask users to complete the item again if they've recently completed it (Early recognition period):
    1. Select Yes, if the user should complete it again, or
    2. Select No, if the user does not need to complete it again - the default is set to 7 days which means if the user has completed the item within the last 7 days they don't need to complete it again. You can modify this if you would like to. 
  6. Click Continue.
  7. Next, choose one of the following options for who to assign the item to:  
    1. All Users - select this option if you would like to assign the item to all active users in your organisation, then click Continue
    2. Teams - select this option if you would like to assign the item to users who belong to one or more teams, then click Continue to refine by users who belong to one or more teams. 
    3. Job Roles - select this option if you would like to assign the item to users who belong to one or more job roles, then click Continue to refine by users who to one or more job roles. 
    4. Individual Users - select this option if you would like to assign the item to particular users.
      You can only manually assign training to users whose account status is active.
  8. Review the list of users you have chosen, select or deselect any users from this list, then click Continue
  9. Click Assign Item to confirm. 
  10. Next, click All Compliance Requirements report to view the compliance requirements you just assigned, or Close to end the flow.
