Manage compliance requirements using the Compliance Workroom

How to use the Compliance Workroom to manage compliance requirements.

The Compliance Workroom is a dedicated space for managing incomplete compliance requirements assigned to users automatically through a training plan, or manually.

Compliance requirements are requests to users to complete mandatory training by a due date, and contain information on who is required to complete the training, what they need to complete, and the timeline for this.

How to use the Compliance Workroom

Steps

  1. From the top navigation bar in the manager portal, go to Learning. 
  2. From the left-hand-side menu bar, go to Manage, then click on Workroom
  3. Wait a few moments for the workroom to load. 
  4. Familiarise yourself with the workroom filters should you wish to change the preset filters: 
    1. Go to Category, and keep User selected to include results for one or more users. Otherwise, select Team if you would like to include users in one or more teams, or select Job Role if you would like to include users with one or more job roles. 
    2. Go to Account Status, and keep Active selected to include users with an active account. Otherwise, select one or more account statuses
    3. Go to Category Type, and select one or more users, teams or job roles for the Category you previously selected. 
    4. Go to Source, and keep All Manually Assigned / All Plans selectedOtherwise, select one or more training plans.
    5. Click Run Query if you changed any of the default filters. 
  5. Once you have isolated the requirements you would like to manage, navigate to the workroom "inbox" which groups the requirements by their current status:
     
    1. Scheduled to Open (Next 30 days) - these requirements will open for completion within the next 30 days from today. 
    2. Open - these requirements are currently assigned to users for completion and are not due yet. 
    3. Overdue - these requirements were not completed before the due date, but are still before the overdue end date or final deadline. 
    4. Missed - these requirements were not completed before the due date or final deadline.

  6. Locate the requirements you would like to manage, and take any of the following actions:
    1. Mark compliance requirements as completed - applies to open, overdue or missed requirements
    1. Mark compliance requirements as skipped - applies to scheduled to open, open, overdue or missed requirements
    2. Give extensions for compliance requirements  - applies to scheduled to open, open, overdue or missed requirements
    3. Send reminders for compliance requirements - applies to open or overdue requirements only.
