How to send invitations to your users and five strategies to effectively transition users from Invited to Active

How to send invitations to your users.

Sending invitations to your users is an important part of the roll-out. Without invitations, your users will not be able to activate their accounts and access their assigned learning.


After adding your users, follow these steps to send them an invitation: 

  • Login to Ausmed for Organisations
  • Go to: Administration
  • Go to: Manage Users

  • Go to: Pending tab

  • Select the users you want to invite
  • Select: Send Invitations
  • Your users will receive an email invitation

Five strategies for effectively transitioning users from Invited to Active

Activating learners onto your learning portal in a timely manner is critical to meeting your compliance requirements. Until they have successfully activated their account they cannot see or access the learning that is required of them.  

We do understand that email inboxes can easily become cluttered if not regularly maintained. So it's not unlikely that the initial invite to join Ausmed may have slipped through the cracks for some of your staff members.

You'll be glad to know there are some other options available that may be more effective in moving these particular users from Invited --> Active.

1. Send Email Reminders

Sending email invite reminders is a great way to bring the invite back to the top of the learner's inbox. 

To send a reminder email:

  • Navigate to Administration -> Manage Users -> Invited

  • Select all the users you wish to receive the invite reminder

  • To avoid spamming the learner, you will have the option of not sending a reminder to anyone who has received a reminder within a defined period of time.

  • Set the time frame then select Send Reminders

2. Share Invitation Link

The Share Invitation Link function allows you to share a single link or QR code to any and all invited users.

This link/QR code sends them to your organisation's dedicated landing page where they can activate onto your learning portal. This equips you with a number of options when it comes to activating users in bulk.

To find the Share Invitation Link function:

  • Navigate to Manage Users
  • Click Share Invitation Link

  • Copy the invitation link or download the QR code and share wherever you see fit

3. Individual Invitation Link

Unlike the share invitation link function, the individual invitation link allows you to copy one learner's unique invitation link which you can share via the channel of your choice.

Note: This link will only be redeemable by the one learner whose link was copied prior to sharing.

To copy and individual invitation link:

  • Navigate to the Invited tab within Manage Users as outlined previously.
  • Hover over the learner whose link you want to copy and click the three dots on the right-hand side

  • Select Copy Invitation Link
  • Share this link directly with the learner

4. Request SMS Invitations

5. Request a Custom Poster for your Organisation

Upon request, we can develop a custom poster that includes your organisation's logo, unique invite QR code (optional), as well as some information on Ausmed.

We will email you the poster in PDF format for you to print off and pin to the lunchroom noticeboard or wherever else you think will catch the eyes of your invited users.
