How to share Reports in Ausmed LMS

This article introduces the new shared reporting feature in Ausmed’s Learning Management System (LMS). You’ll learn how to generate and share static snapshots of learning reports, manage report access, and track shared reports within your organisation.

What is Shared Reporting?

Shared Reporting allows managers to generate a snapshot of a learning report and share it with other users who have access to the Ausmed manager portal. This version (V1) only supports learning reports, with support for performance and policy reports coming in future sprints.

A snapshot is a static view of the report at the time it was shared. It won’t update dynamically, but users can still navigate the data within the shared version.


How to Share a Report

  1. Navigate to the Reporting section in the LMS.

  2. Run any learning report.

  3. Click the Share button in the top right corner.

  4. In the modal window:

    • Enter a title for the report.

    • Select access settings (Open or Restricted).

    • (Optional) Set an expiry date – by default, the report will expire after 7 days.

  1. Click Generate Link.

  2. Copy and send the link via your preferred channel (email, chat, etc.).


Access Settings

  • Open: Anyone with the link can view the report, provided they are logged into the LMS as a manager.

  • Restricted: Only users explicitly added by you can view the report. They must also be logged into the LMS.

⚠️ Note: Version 1 does not include automated email notifications—you'll need to send the link manually.


Expiry Settings

  • Reports automatically expire after 7 days, unless a different expiry date is manually set.

  • You can choose any future expiry date before generating the link.


View and Manage Shared Reports

To see all reports shared within your organisation:

  1. Click the arrow next to the Share button.

  2. Select Shared Reports.

  3. This table shows:

    • Report titles

    • Expiry dates

    • Access settings (Open or Restricted)

    • Ability to edit or delete any report you’ve created


Known Limitations (Version 1)

  • Icons and formatting from the original report may not appear in the snapshot view (e.g., “source” displays as plain text).

  • Column order may differ slightly.

  • Data does not refresh automatically.

  • No email notification functionality yet.


Tips

  • Use descriptive titles when sharing reports so others can identify them easily.

  • Set a longer expiry date if reports are needed for audits or reviews.

  • Encourage recipients to log in before accessing the report to avoid access issues.

  • Feedback is encouraged—help shape the next version of this feature.
