Can we import historical records of staff competence into Ausmed Competency™?
Yes. If your staff have already been directly observed as competent, we can import that history. This is handled by our support team — you can't upload historical records yourself.
What counts as prior competence?
Prior competence means a direct observation — someone watched your staff member perform the skill and recorded them as competent.
How does it work?
- Every digital competency in Ausmed Competency™ has a practical activity linked to it in Ausmed Learn™.

Importing a record of prior competence adds a learning record for the linked practical activity in Ausmed Learn™. Because that practical activity is linked to the digital competency, the completion automatically satisfies the competency's requirements.
- There's no competency record created in Ausmed Competency™, because a competency record only exists when an assessment is submitted through the Ausmed Assess app — capturing the assessor, assessment date and a result for each individual criterion within the digital competency. Since the original observation wasn't recorded in our system, none of that detail exists to bring across.
Example: a manual handling competency observed 4 months ago
Manual handling is a good example — most healthcare orgs require it to be reassessed periodically, and it's almost always done as a direct observation rather than pure e-learning.
Say a staff member was directly observed as competent in manual handling in March, and your organisation moved to Ausmed Competency™ in July — 4 months later.
- It falls inside the 12-month window, so it's eligible to import.
- Support adds a learning record for the manual handling practical activity in Learn™, dated to the actual observation (March).
- When the staff member is next due depends on how the manual handling training plan is configured in Learn™ — that's set independently, and isn't affected by the import.
- The staff member's record in Competency won't show anything for this — there's no competency record, since the observation wasn't assessed against individual criteria in our system. A learning record however will show the completion.
How far back can I import records?
- We can import records of prior competence from up to 12 months before your Ausmed Competency™ start date.
- If you have observations older than 12 months, get in touch with support to discuss your options.
What information do we need to supply?
Gather your staff's observed competence records into a .csv spreadsheet, with one row per record:
- Ausmed Item ID – the unique identifier for the practical activity in Ausmed Learn™ that the digital competency is linked to.
- Staff member – full name, plus a unique identifier such as email address or employee ID, so we can match them to the correct account.
- Date completed – the date the staff member was directly observed as competent.
The more complete and consistent this information is, the faster we can process your import.
How do I get started?
- Prepare the above information and contact Ausmed support and let them know you'd like to import historical records of staff competence.
- Share your spreadsheet with support. Our team will confirm the format, check the data, and let you know once the import is complete.
