# Add a policy

## Learn how to add a policy.

As defined by the [Australian Commission on Safety and Quality in Healthcare](https://www.safetyandquality.gov.au/sites/default/files/migrated/National-Safety-and-Quality-Health-Service-Standards-Guide-for-Hospitals.pdf) (2017), a policy is "*a set of principles that reflect the mission and direction of the organisation. All procedures and protocols are linked to a policy statement.”*  

As long as you have organisation manager [permissions](https://knowledge.organisations.ausmed.com.au/en/knowledge/understand-permissions?hsLang=en), you can add as many policies to Ausmed's Policy Management System as you like.

#### **How to add a policy**

**Steps**

1. Go to **Policies** in the top navigation bar of the manager portal.
2. Choose one of the following options:

     2. From the left sidebar menu, you can also click the **+Add** button, then click **Add Policy.**

3. Upload your policy file: 
     1. Drag and drop the .**pdf file** you wish to upload into the window, or click **Browse** to find the file on your computer.
     2. You can also choose to provide a URL link to your policy
4. After your file has been uploaded, click **Next** to continue.
   
   **Tip:** If you accidentally select the wrong file, click **Change File** to choose a different one.
5. Enter the policy overview information, then click **Next** to continue:   
     1. **Title** - enter the name of the policy.
     2. (Optional) **Item ID** - enter a set of letters and/or numbers to uniquely identify the policy.
     3. (Optional) **Description** - describe the policy in a few sentences for other users in the manager portal.

6. Select who needs to acknowledge the policy, by clicking the **Search Box** 
     1. You can select any combination of job roles, teams, locations or individual users to assign the policy to.

     3. Click **next** when you've finalised your selection
7. On the next page, you'll be able to select who this Policy is visible to. 
     1. Select **everyone** if you want this policy to appear in everyone's Policy Library
     2. Select **users required to acknowledge** if you want this policy to only appear for users who are required to acknowledge this policy
8. On the Policy Owner page, you'll be able to select a **Policy Owner** 
     1. Currently Policy Owners has limited functionality.
     2. **In the future Policy Owners** will receive notifications when the policy is up for review
     3. If no owner is set, then this will default to all Organisation Managers in your Organisation
9. Tag the policy to related job roles, standards and topics, or click **Next** to continue:  
     1. (Optional) **Regulatory Standards & Custom Standards** - tag the standards the policy relates to, so you can report against these standards, and so users can locate it more easily in My Organisation. 
     2. (Optional) **Capability Frameworks** - tag the frameworks relating to your policy

1. 1. (Optional)** Topics** - tag the topics the policy relates to, so users can locate it more easily in My Organisation. 
2. Choose when the policy needs to be reviewed by, or click **Next** to continue: 
     1. (Optional) **Review Due By** - enter the date by which the policy should be reviewed for currency.
3. Attach one or more additional documents to the policy, or click **Next** to continue. 
   
   **Tip:** If you accidentally attach the wrong additional document, choose which one you would like to remove, then click **Remove**. 
4. Add any job roles you would like to acknowledge the policy under the acknowledgement settings, or click **Next** to continue: 
     1. (Optional)** Job Roles** - select the job roles of users you would like to acknowledge the policy.
5. Add any internal notes, then click **Done** to continue: 
     1. (Optional) **Internal Notes** - include any comments you want others to see in the manager portal when viewing the first version of the policy.
6. Click **Publish** if you would like to [publish](https://knowledge.organisations.ausmed.com.au/en/knowledge/publish-a-policy-and-procedure?hsLang=en) the policy now, or **Close** and click **Save as Draft **if you would like to [continue editing](https://knowledge.organisations.ausmed.com.au/en/knowledge/edit-a-published-policy?hsLang=en) it later. 

**Note:** Once saved as a draft, the policy will be added to **Your Policy Library** with a "draft" status.
